BUILDING

The building of the extension is now complete. We have a secure watertight shell of a building with a lift but it will not be accessible to users until we have the funding in place to complete the second fit and decoration. Sorry about this but it all depends on our finding the funding.

 

In the foyer we have had a temporary cupboard built over the new electrics and we have had the fire and security control panels moved to the left side of the electricity cupboard. This whole are will then be rebuilt with a new oak faced cupboard more in keeping with the building.

 

We have also had a proper light switch fitted above the fire panel for the Main Hall lights. It is now no longer necessary to go into the fuse cupboard to turn the Main Hall lights on and off. An easier to use red coloured switch has been provided that is much safer to use. At last!

 

We have also had fitted an automatic light that will come on in the foyer when you open the door. We have also moved the light switch for the stairs and foyer light. It is still on the  beam that it used to be on, but is now on the side  nearest the door to make it easier to find.

 

If you are last one out we ask that you not only drop the latch but also set the alarm. For details of how to do this see here. We have had a new alarm control panel fitted and the exit code is "1", "2", "3", "4", followed by "Yes".

 

You will find more details of the building works here on the website. We are making every effort to prevent it inconveniencing you too much. We appreciate you staying with us and we are sure that you will appreciate the improvements when they are complete.

 

The new door is in (currently a temporary one till the oak one is approved). We now have a new lock that can  be pulled shut behind you. See the pictures below.

If you are a key holder you can open the door and then hold the latch back so that the door can be used without a key.

To hold the lock open, press the latch in and hold it there by raising the slider with the  tip of your key towards the word 'IN'.

To lock the door release the latch by pushing the slider down with the tip of a key or similar towards the word 'OUT'. The door can then be pulled shut and can only be opened with a key.

 

CAR PARKING

As you may know, Bovis no longer use our car park, but we have let the spaces to Capita from Monday 2nd March for a trial three month period. This should not affect regular users since it is no more spaces that Bovis were using, and is weekdays from 07:30 to 18:30, and so should have no impact on evening and weekend events. NOTICE BOARD

Tidying up the Barn the other day we noticed that quite a few notices were way out of date, so we have taken them down. Committee member John Andrews has agreed to take responsibility for the notice boards. So if you would like a notice put up please would you pass it to John or leave it in the office marked for John's attention. We would like this to apply to both the inside an outside notices please. As we have said we are planning to buy a new notice board for the front gate, which we intend to be slightly larger and will have a glazed front. For a bit of order we are going to ask that notices are usually A5, with occasional A4, but no larger. This will make it as fair as possible to as many users as possible. Sorry, but the glazed front will not be suitable for notices with a tear off tab.

Meeting About The Extension

A meeting was held on Monday October 6th at 8pm in the Meeting Room (room 4) to discuss the extension with regular hirers. These are my notes of the meeting:

Introduction

The committee are required to provide disabled access to the main hall but can not achieve this within the current building without reducing the usability of the rooms. The extension will allow a lift to be installed and will provide space for a bar, kitchen and lavatory on the same level as the main hall, it will also provide increased useable space on the ground floor.

The plans drawn up to gain planning permission were shown and the project and its progress described. The project has gained planning permission and listed building consent. It is yet to gain building regulations approval. Church Architectural were contracted to provide support to the project up to planning approval. Subsequently the committee have appointed a project manager and are shortly to appoint an architect, to take the project to completion.

The Project Proposal and the Clients Requirements are to be made accessible on the web site.

Discussion of the proposals

Disruption of use during construction: Those present said that they were keen for there to be as little disruption as possible since they wanted to remain open for specific periods. It was suggested that in the main hall the south windows would remain intact for the entire period of the build and would only effect main hall users during the day for a limited period when the break through was made and the doors fitted. It was asked that this be undertaken during the summer or half term breaks to minimise disruption.

Access during construction: It was suggested that an alternative externally lockable entrance be made using the current kitchen external door. Users would also be able to gain access through the main hall and meeting room fire exits, but only when opened from the inside.

The level of light in the main hall on the loss of the three south windows: Will need to be addressed during the design phase.

Other topics were discussed in less detail such as the uses of the ground floor room, the position of the front door, and a ceiling in the new first floor room.

 

 

WHAT ARE YOUR CHRISTMAS DATES? Please can you email me with your Christmas and New Year dates so that I can release rooms for parties etc and so that we don't charge you for times you are not there over the Christmas period.

 

 

First Aid: Note there is a new first aid box now hanging in the foyer of the Long Room (room 5). If you do need to use it please will you fill in a report sheet in the new 'Incident Book' that is on the desk in the office. Lets hope we don't need it but just in case it's nice to know it's there. And thanks to Lenora Smith for arranging it for us.

 

 

New Regular Users Page: As soon as we know any activities and dates we will post them here. Currently we don't have any dates. We are reviewing tenders prior to appointing an architect. Following that we will have plans drawn up to allow us to apply for building regulations approval. We will then go out to tender for a builder. After tender review we will appoint a builder and get going as soon as they are available. So I don't expect to start building until after Christmas at the earliest.

 

Caretaker: We post any changes to procedures and will tell you when Duanne is on holiday and you have to put up with the committee letting you in.

 

Complaints: Please get back to me with any difficulties you have as soon as possible. We can deal with them and put changes into place to prevent them happening again.
